Client data and data-processing terms

Where The Equine Business Hub processes personal information on behalf of a client, the client will normally remain the data controller and The Equine Business Hub will act as the data processor, unless the circumstances require a different arrangement. A written service agreement or data-processing schedule will define the subject, purpose, duration and types of processing; the information and people involved; authorised suppliers; security arrangements; and what happens to information when the service ends.

Personal information will be processed only for the agreed service and documented client instructions, kept confidential, protected with appropriate organisational and technical measures, and shared with authorised service providers only where necessary. The client remains responsible for ensuring that it has a lawful basis and provides any required privacy information to the people whose data is entered into its Hub. We will cooperate with reasonable requests relating to individual rights, security incidents, deletion or return of information and data-protection compliance.

ICO registration and data-protection fee

Before live client information is processed, The Equine Business Hub will complete the Information Commissioner's Office fee assessment and register and pay the applicable data-protection fee where required. Registration does not replace the wider responsibilities described in this policy.

We may collect your name, business name, email address, telephone number, billing information, enquiry details, booking information and any client, horse or business information you choose to provide. We may also receive basic technical information such as your IP address, browser, device, referring page and cookie preferences.

Please avoid sending sensitive personal information through a general enquiry form unless it is genuinely necessary. Information collected through a client's own Hub or booking process may be handled on that client's behalf under the relevant service agreement.

How we collect information

Information may be collected when you:

  • submit a contact, discovery or booking form;
  • purchase or enquire about a product or service;
  • communicate with us by email, telephone or social media;
  • subscribe to updates where offered;
  • use a client workspace, booking system or other service we provide; or
  • browse the website and choose your cookie settings.

How we use your information

We use personal information to respond to enquiries, arrange calls and bookings, prepare proposals, provide and support services, issue invoices, take and track payments, maintain business records, improve our services, protect our systems and comply with legal obligations.

Where you have actively opted in, we may also send relevant news or marketing. You can unsubscribe at any time.

Lawful bases

Depending on the circumstances, we rely on:

  • contract — to take steps at your request and provide purchased services;
  • legitimate interests — to respond to business enquiries, administer and improve the business, prevent misuse and maintain appropriate records;

You may withdraw consent at any time. This will not affect processing already carried out lawfully.

Who we share information with

We only share information where necessary. Service providers may include Squarespace for website hosting and forms, scheduling and payment providers, email and cloud-storage providers, Notion or similar workspace providers, professional advisers and authorities where legally required.

These providers process information under their own terms or on our instructions. We do not sell personal information.

International transfers

Some service providers may process information outside the United Kingdom. Where this happens, we use providers offering recognised safeguards, such as UK adequacy regulations or approved contractual protections.

How long we keep information

We retain information only for as long as reasonably necessary for the purpose collected, to provide services, resolve queries and meet legal, tax and accounting requirements. Enquiries that do not become clients are normally reviewed and deleted when no longer needed. Financial and contractual records may be retained for the period required by law.

Security

Reasonable technical and organisational measures are used to protect information. However, no online system can be guaranteed completely secure. Clients are responsible for using strong passwords, controlling access to their own workspaces and promptly telling us about suspected unauthorised access.

Your rights

Under UK data-protection law, you may have the right to request access to your personal information, ask for inaccurate information to be corrected, request deletion or restriction, object to certain processing, request portability and withdraw consent.
